The problem isn't the tools. It's the lack of structure around them.
The three failure modes I see most often
1. Everyone has access to everything
When AI tools connect to your CRM, your data warehouse, and your internal docs, the question isn't "can it access this?" โ it's "should it?" Without explicit permissions, the answer defaults to yes.
2. No audit trail
If a team member asks an AI assistant to pull customer data or draft a contract, do you know it happened? Do you know what data was used? Most companies don't. That's a compliance problem waiting to surface.
3. Shadow AI
Your team is already using AI tools you don't know about. Not because they're trying to hide it โ because the approved tools are too slow, too limited, or too complicated. Governance without usability just creates shadow AI.
What good governance actually looks like
Good AI governance isn't a policy document. It's a permission layer built into how AI works โ so the right people can do the right things, and nothing else is possible.
In practice, this means:
- Role-based access โ an engineer can query the data warehouse, but not the HR system
- Action logging โ every AI-generated output is traceable to a user, a time, and a context
- Approval workflows โ some actions require human sign-off before execution
Governance isn't a constraint on speed. Done well, it's what makes scale possible.
